Let me know that we are hiring for the position of 'Back Office Assistant'.
Below are the given responsibilities -
1. Accurately input and maintain logistics-related data into the company's systems, including shipment details, customer orders, inventory levels, and transportation schedules.
2. Prepare and organize shipping documentation such as bills of lading, invoices, customs paperwork, and delivery receipts. Ensure all records are properly filed and easily accessible.
3. Assist in processing client orders, tracking shipments, and updating clients on the status of their goods, ensuring timely deliveries.
4. Help track stock levels, update inventory records, and assist in reordering supplies or materials as needed to ensure smooth operations.
5. Provide internal support to customer service and sales teams by answering queries, providing order updates, and helping resolve any administrative issues related to logistics.
6. Liaise with third-party vendors, carriers, and suppliers to ensure the smooth execution of shipments and resolve any operational issues.
7. Assist in coordinating shipping schedules, ensuring that the correct shipping methods and carriers are selected based on customer requirements and deadlines.
8. Support in the preparation of invoices, ensuring accuracy in billing, and track payments and outstanding invoices in coordination with the finance team.
9. Generate and maintain regular reports on logistics operations, including shipment tracking, delivery performance, and inventory levels, and assist in data analysis as needed.
10. Ensure that all documentation and procedures adhere to relevant regulations, such as customs requirements and transportation safety standards.
11. Assist in handling customer complaints related to logistics processes, coordinating with relevant departments to resolve issues in a timely manner.
12. Regularly update logistics software or databases with relevant information, including order statuses, inventory levels, and shipping details.
13. Provide administrative support to the operations team by preparing reports, maintaining schedules, and tracking performance against key logistics metrics.
14. Assist with other back-office administrative tasks as required, ensuring the smooth and efficient functioning of the logistics department.
