Role Overview
As the Front Office Executive (Receptionist), you will be the first point of contact for clients, visitors, and employees at Shells Bengaluru Corporate Office. This role requires a polished, poised, and proactive individual who can handle a fast-paced, high-visibility corporate front desk, interacting with US clients and senior leadership regularly. Your presence will shape the guest experience and set the tone for the entire organization.
Key Responsibilities
- Greet and welcome clients, guests, and employees with professionalism and warmth Manage incoming calls, route queries, and maintain communication protocols
- Maintain front office aesthetics and manage meeting room bookings using tools like Condeco/Robin/Teem
- Coordinate logistics for meetings, team events, and visiting delegates Oversee incoming/outgoing mail and courier deliveries
- Monitor and manage inventory of front office supplies
- Support administrative and HR teams with document filing and basic coordination
- Follow standard operating procedures (SOPs) during emergency or security-related events
Required Qualifications
- Minimum Graduate in any discipline from a recognized Indian institution 3-5 years of experience in front office or receptionist roles
- Proven familiarity with corporate reception protocols and security SOPs Certifications in First Aid, Fire Safety, or Baggage Scanning are a plus
Professional & Technical Skills
- Fluent spoken English with a neutral accent (must). Hindi and Tamil are preferred but not mandatory
- Typing speed of 3040 words per minute
- Strong MS Office skills (especially PowerPoint) certification preferred Hands-on experience with tools like: Oracle HCM, RAMCO, PeopleStrong ,Adobe Acrobat, MS Office Suite
Mailroom & Access Control systems (LenelS2, Honeywell, MyGate) Avaya Communication Systems, Microsoft Teams , Visitor ID software like Zebra Badge Printing
Personal Traits & Appearance Requirements
Minimum height: 5 feet 6 inches
- Age: 25 to 35 years
- Must be physically fit, well-groomed, with an air-hostess-like presence Dress code includes:
Clean and ironed uniform (no jewelry or visible religious symbols) Black bun hairstyle with no makeup or nail polish
Neatly cut, clean nails and daily hygiene maintenance
- Calm, composed, and firm demeanor under pressure
