Position Summary:

As an Intake Specialist, you are the front-line voice of our firm. You'll answer calls, texts, and emails with warmth and urgency; gather detailed information using our scripts and tools; and guide people through the first steps of working with us. You'll also handle documentation, follow-up, and intake scoring to determine next steps-sign, schedule, or refer-always ensuring that clients feel supported and respected.

This is a high-accountability, high-empathy role in a fast-paced environment. If you're someone who thrives on helping others, excels at multitasking, and takes pride in getting details right the first time, we want you on our team.

What You'll Do:

Deliver Flawless First Impressions

  • Answer all incoming calls immediately with a warm, caring tone (never placing new clients on hold)
  • Introduce yourself and the firm, listen with empathy, and gather all required information in Lead Docket
  • Follow intake scripts and ask every question in the system, with care and patience

Manage & Screen Leads

  • Quickly respond to opportunities (missed calls, emails, referral leads) before potential clients go elsewhere
  • Accurately score intakes using our scoring system to determine whether to sign, schedule, or refer
  • Clearly explain the next steps to callerswhether we can help them now, need more information, or can refer them elsewhere

Maintain Accurate Records

  • Enter detailed client information into Lead Docket and update status at every step
  • Send representation paperwork and follow up until everything is complete
  • Handle uploads, document management, and task lists in Lead Docket and Needles

Collaborate with the Team

  • Communicate promptly with attorneys, case managers, and other staff about status changes
  • Transfer signed clients smoothly to case management with complete, accurate files
  • Share ideas to improve scripts, processes, and efficiency


Who You Are:

  • Compassionate Communicator: You can stay calm and kind even when callers are frustrated or in crisis.
  • Detail-Oriented: Accuracy matters. You double-check information and catch small mistakes before they cause problems.
  • Quick & Responsive: You understand that every call counts and you prioritize answering immediately.
  • Tech-Savvy: Comfortable learning and navigating multiple software platforms (we use Lead Docket, RingCentral, Needles, Vinesign, and more).
  • Team Player: You support your teammates and ask for help when needed.

Experience and Education:

  • Prior work in a professional office environment (intake, call center, legal, or medical setting a plus)
  • Familiarity with social security or disability processes is a plus (we'll train you)
  • Min. qualification Graduation

Shift Timing:

  • Should be comfortable working in night shift (10 pm to 7 am IST)
  • Willing to work from the office and maintain flexibility in work hours to meet business needs.
