Visa & Query Manager @ Manipal Hospitals

Job Description

Roles & Responsibilities:

• Act as the first point of contact for all international patient queries received via email, phone, or hospital website.
  
• Provide detailed responses on treatment options, estimated costs, doctors profiles, and expected length of stay.
  
• Coordinate with clinical departments to prepare treatment plans and medical reports required for visa applications.
  
• Assist patients and their families in applying for medical visas by providing invitation letters, supporting medical documents, and liaising with embassies/consulates.
  
• Track visa application progress and support patients in resolving embassy-related queries.
  
• Ensure all documents are accurate and compliant with immigration, embassy, and hospital regulations.
  
• Provide guidance on travel, accommodation, insurance, and forex requirements for international patients.
  
• Maintain updated records of all queries, visa requests, and approvals in CRM/HIS.
  
• Coordinate with internal teams (admissions, billing, doctors, translators, travel desk) to ensure smooth onboarding of international patients.
  
• Monitor turnaround time (TAT) for query responses and visa support to deliver a high-quality experience.
  
• Handle grievance redressal sensitively and escalate complex cases to supervisors when necessary.
  
• Prepare periodic reports on patient queries, visa approvals, and conversion ratios for management review.
