Job Description

Role Overview:

We are looking for an Admin & Front Office Executive to manage front desk responsibilities and end-to-end administrative and facility operations at our Baner office location. The role requires strong coordination skills with property owners, vendors, and the central office team based out of Indore, ensuring seamless day-to-day office functioning.

Key Responsibilities:

Front Office Management

  • Manage front desk operations and act as the first point of contact for visitors, clients, and candidates
  • Handle incoming calls, emails, couriers, and visitor management
  • Coordinate meeting room bookings and ensure readiness for meetings
  • Maintain visitor logs and access control processes

Administration & Office Operations

  • Oversee day-to-day administrative operations at the assigned location
  • Manage office supplies, stationery, pantry requirements, and asset inventory
  • Coordinate with vendors for housekeeping, security, maintenance, and other facility services
  • Ensure office infrastructure readiness including seating, internet, power backup, and utilities

Facility Management & Property Owner Coordination

  • Act as the single point of contact for facility-related matters at the rented premises
  • Coordinate with the building management for maintenance issues, utilities, parking, access, and common area management
  • Monitor facility services such as housekeeping, security, electrical, plumbing, HVAC, and internet
  • Track facility-related complaints and ensure timely resolution
  • Support lease-related coordination, renewals, and documentation as required (in coordination with central office)

Team Member Support & HR Coordination

  • Support TMs with administrative and facility-related queries
  • Assist People Team(HR) with onboarding and exit logistics (ID cards, access, seating, welcome kits)
  • Coordinate internal events, meetings, and office activities

Central Office & Inter-location Coordination

  • Coordinate regularly with the central admin team based out of Indore
  • Share periodic updates on admin, facility, and operational matters
  • Implement central office policies, processes, and guidelines at the local office
  • Support audits, reviews, and reporting requirements as defined by the central team

Documentation & Records

  • Maintain admin and facility documentation, invoices, vendor records, and logs
  • Ensure timely submission of bills, reports, and compliance-related documents to the central office

Key Skills & Competencies

  • Strong experience in office administration and facility management
  • Excellent coordination and communication skills
  • Vendor and property owner management experience
  • Good organizational and documentation skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Ability to work independently in a location-based role
