Job Description

Job Summary:

The Hostel Incharge is responsible for managing the day-to-day operations of the hostel, ensuring the safety, comfort, and discipline of all residents. The role includes overseeing housekeeping, security, maintenance, and resident welfare while ensuring smooth functioning as per organizational policies.


Roles & Responsibilities:


Hostel Operations Management

  • Oversee the daily functioning of the hostel premises, ensuring cleanliness, safety, and orderliness.
  • Supervise housekeeping, security, and maintenance staff allocated to the hostel.
  • Ensure timely completion of repairs, electrical/plumbing issues, and facility upkeep.
  • Monitor occupancy, room allocation, and movement of residents.
  • Maintain hostel inventory (furniture, appliances, linen, etc.).

Resident Welfare & Support

  • Act as the primary point of contact for residents regarding grievances, requests, or emergencies.
  • Conduct regular rounds to ensure discipline, hygiene, and compliance with hostel rules.
  • Facilitate medical assistance in case of sickness or emergencies.
  • Coordinate orientation for new residents and help them settle in.

Administration & Record Keeping

  • Maintain updated records of room allotments, attendance, check-in/check-out, visitors, and incident logs.
  • Prepare monthly reports related to occupancy, maintenance requests, and discipline issues.
  • Ensure compliance with hostel policies, safety guidelines, and security protocols.

Safety & Security

  • Ensure adherence to fire safety guidelines, emergency procedures, and security checks.
  • Supervise night duty staff and monitor CCTV, entry logs, and visitor registers.
  • Implement and enforce hostel rules to ensure a safe living environment.

Vendor & Facility Coordination

  • Coordinate with facility management for housekeeping, maintenance, pest control, and cafeteria services.
  • Monitor quality of services provided by third-party vendors.

Event & Community Management

  • Support in organizing resident engagement activities, cultural events, and awareness programs.
  • Facilitate communication between residents and management.

Skills & Competencies:

  • Excellent communication and people management skills
  • Strong coordination and administrative ability
  • Problem-solving and conflict resolution skills
  • Ability to handle emergencies calmly
  • Knowledge of hostel facility management and basic housekeeping standards
  • Basic computer skills (MS Word, Excel, Email)
