About the Role:
We are seeking a dynamic Admin & Facilities Director provides strategic leadership for all administration and facilities functions to ensure a safe, efficient, compliant, and costeffective workplace. This role oversees office operations, facilities maintenance, vendor and contract management, health & safety compliance, space planning, business continuity, and the performance of admin/facilities teams while aligning operations to business goals and budgets.
Key Responsibilities:
Strategy, Governance & Compliance
- Set the admin & facilities vision, operating model, and multiyear roadmap aligned to company strategy.
- Establish and enforce policies, SOPs, and internal controls across admin and facilities services.
- Ensure compliance with applicable building, environmental, health, safety, and security regulations; maintain auditready documentation and lead corrective actions.
Facility Operations & Workplace Experience
- Oversee hard & soft services (HVAC, electrical, plumbing, housekeeping, security, reception, mailroom, pantry, transport, cafeteria, waste management).
- Implement preventive and predictive maintenance programs; monitor uptime, response times, and SLA adherence.
- Drive workplace experience initiatives (amenities, events, frontofhouse standards) and manage oncall/emergency support.
Vendor, Contract & Budget Management
- Own vendor strategy, RFPs, contract negotiation, and performance management for all admin & facilities services.
- Build and manage Opex/Capex budgets; track consumption, variances, and savings; report monthly KPIs to leadership
Administrative & Financial Skills
- Budgeting & Cost Control: Developing and managing budgets, tracking expenses, optimizing resource allocation
- Vendor & Contract Management: Sourcing, evaluating, negotiating, and managing contracts with service providers
- Procurement & Supply Chain: Overseeing office supplies, asset management, equipment sourcing
Leadership & People Management
- Team Leadership: Supervising technicians, administrative staff; staffing, recruiting, and training
- Strong Communication: Effective verbal and written communication for team, vendors, and senior leadership
- Negotiation & Conflict Resolution: Essential during vendor contracts and managing onsite issues
