Job Description

Pillai Center is evolving into a next-generation educational institution at the intersection of Applied Spiritual Science, human potential, and AI-optimized learning systems. We are integrating AI-enhanced workflows, intelligent automations, and modern program delivery methods to elevate the global student experience.


This position is ideal for someone early in their career who is eager to grow quickly, lead cross-functional initiatives, and manage the full lifecycle of our global online programsfrom concept to delivery to post-program support.


This is a hybrid role that blends project management, operations, workflow optimization, and AI-assisted coordination. It is not a purely technical role, but it requires comfort with digital tools, structured thinking, and the ability to keep multiple moving parts synchronized across teams, timelines, and platforms.


Key Responsibilities:


Program Execution & Coordination

  • Manage and coordinate the end-to-end delivery of online programs, courses, and live events.
  • Work with coaches, teachers, US-based leadership, CRM, and marketing teams to ensure seamless execution.
  • Assign, organize, and track tasks for Program Coordinators and ensure timelines are met.

Perform light QA reviews to ensure program pages, content updates, and member access are correct.

Website, Store & Course Platform Operations


  • Support updates across WordPress, WooCommerce, LearnDash, and BuddyBoss (training provided).
  • Upload course content, manage call replays, update images, and monitor member access settings.

Assist with store updates, product setup, coupon testing, and basic digital housekeeping.

Automation, Communication & CRM

  • Use ActiveCampaign to set up automations, email flows, and member segmentation (training provided as needed).
  • Coordinate program email communications, reminder schedules, and onboarding sequences.

Manage SurveyMonkey forms, scheduling tools (ScheduleOnce/Calendly), and WhatsApp announcements.


Project Ownership & Process Improvement

  • Use project management tools (ClickUp, Monday.com, Zoho Projects) to plan and track task flows.
  • Conduct simple gap assessments to spot bottlenecks and propose clearer SOPs or checklists.
  • Provide weekly progress updates and flag risks early.

Identify opportunities where AI tools can reduce manual time, automate tasks, and improve quality.

Team Leadership & Stakeholder Support

  • Provide day-to-day coordination support for Program Coordinators.
  • Serve as a central point for communication between teachers, business owners, marketing, tech, and support teams.

Assist with member support workflows to ensure smooth post-sales experiences.

Required Skills & Experience


  • Recent MBA graduate or 13 years of relevant internship/project experience in operations, project management, consulting, EdTech, or online program environments.
  • Strong digital literacy and comfort learning new platforms quickly.
  • Coursework or practical experience in project management, operations, analytics, or systems thinking.
  • Familiarity with WordPress, LMS tools, CRMs, or marketing automation platforms (or strong willingness to learn quickly).
  • Experience using tools such as Google Sheets, project management platforms (ClickUp, Monday.com), or similar.
  • Strong communication, problem-solving, and organizational skills.
  • Ability to multitask, prioritize, and maintain accuracy under timeline pressure.

Curiosity and comfort experimenting with AI tools to streamline workflows.
