    People Operations Specialist

    Location: Hyderabad 

    Description of the Role

    As a People Operations Specialist, you will manage end-to-end people operations processes for a US-based behavioral healthcare provider, ensuring accurate employee onboarding, compliance with regulatory requirements, data integrity across HR systems, and seamless people-related workflows. Your role focuses on supporting new hire setup, employee status changes, offboarding, and clinic expansion through meticulous data management, system administration, and cross-functional coordination. You will work with HRIS platforms (Rippling), ERM systems (Central Reach), access management systems, and regulatory compliance frameworks to maintain accurate employee records, ensure HIPAA compliance, and support organizational growth.

    Essential Functions of the Role

    Essential functions are the duties and responsibilities that are essential to the role and account for more than 50% of work time. These functions should be specific and action oriented.

    • Onboard new team members by uploading hire data into HRIS within 24 hours of offer acceptance, creating bulk uploads or manual entries as needed, and verifying completeness of all required documentation and Configure system access for new hires across multiple platforms including Google Voice, Open Phone, Central Reach, Qglobal etc.
    • Verify and manage regulatory compliance documentation including background checks, and compliance status tracking in company systems.
    • Manage onboarding workflows
    • Create and maintain system labels and permissions for newly hired clinicians and case supervisors
    • Conduct initial contact and welcome communications with new hires via text message, confirming start dates, reminding about required documentation and addressing any questions using US time coordination or scheduled messaging.
    • Process employee status changes including part-time to full-time transitions, transfers, and promotions by updating employment type and role information, updating clinic and role labels, and coordinating offer letter issuance where applicable.
    • Manage work schedule and role changes including updating clinician full-time equivalent (FTE), work schedule, caseload assignments, and client labels.
    • Conduct offboarding activities including documenting resignations/terminations, deleting system access across all platforms and ensuring complete data cleanup.
    • Manage bilingual testing processes including sign-up coordination, monitoring test results, and updating pay records based on bilingual premium qualifications.
    • Maintain data integrity and compliance by monitoring HIPAA requirements for sensitive personal health information, flagging data errors, ensuring complete documentation standards, and preparing information for monthly business reviews.

    Qualifications

    •   Minimum Requirements
    •   Items that are minimally required to perform the essential functions of the position.
    • Education: Bachelor's degree in Healthcare Administration, Human Resources, Health Information Management, or related field preferred.
    • Experience: Minimum of 2-3 years of experience in HR operations, HRIS administration, healthcare HR, or people operations in a regulated industry.
    • Licensure/Certifications: N/A
    • Knowledge/Skills/Abilities: - Strong English written and verbal communication skills for documentation, employee communications, and cross-functional coordination.- Background working with US healthcare/insurance systems highly valuable; familiarity with basic healthcare and medical terminology, Autism-specific considerations a plus.- Excellent attention to detail for data entry, verification, and compliance documentation tasks.- Organized and methodical approach to managing multiple onboarding workflows simultaneously.- Ability to operate with sensitive personal health information and maintain HIPAA compliance standards.- Proficiency in HRIS systems and HR platforms, with ability to quickly learn new systems.- Working knowledge of US employment compliance requirements, I-9 verification, and background check processes. - Experience with Google Workspace (Gmail, Drive, Sheets, Docs, AppSheet) and Microsoft Office. - Strong data management and documentation skills with ability to maintain accurate records. - Proactive problem-solving and ability to escalate issues appropriately to leadership. - Experience with health information management systems or ERM platforms a plus. - Familiarity with Applied Behavior Analysis (ABA) therapy organizational structures beneficial.
    • Other: - This position requires continuous learning to stay current with US employment regulations, healthcare compliance requirements, and HR best practices. - Asynchronous work schedule; does not require working US business hours but must coordinate communications effectively across time zones. - Flexibility to adapt to evolving processes, regulatory changes, and technology platform updates. - Ability to handle sensitive employee information with discretion and professionalism. - Must be comfortable working across multiple systems and managing complex workflows with numerous interdependencies.
