CEO Secretary
Role Definition: The Personal Secretary is responsible for supporting the CEO in administrative activities in order to keep him on-schedule, organized and effective. Deliverables Expected: Overlooking and managing CEO Communication, Calendar Management, Travel Planning, Managing and delivering personal tasks and Co-ordination with stakeholder and other team members in order to schedule meetings and other related tasks.
Role Responsibilities:
a) CEO Communication: -
* Act as a first point of contact for all communications at the CEO's office and deal with correspondence accordingly
* Respond to emails and calls in a timely manner post concurring with the CEO
* Take notes and transcribe them to documents/emails
* Conduct miscellaneous tasks such as research on relevant topics and so on to support the CEO
b) Calendar Management: -
* Manage CEO's diary and organise meetings and appointments
* Reminder for important tasks and deadlines
* Manage the To-Do list and liaise with relevant teams to complete tasks on daily basis
c) Travel Planning: -
* Book and arrange travel and accommodation
* Type, compile and prepare minutes, reports, presentations and correspondence
* Curate the expense details accurately before presenting it to the Accounting team
d) Managing and delivering on personal tasks: -
* Co-ordinate with team members and vendors for streamlining of BAU activities
* Keeping a track of key areas/members in the personal/professional life and create avenues or communication with them
e) Stakeholder Coordination: -
* Co-ordination across stakeholder groups in order to schedule meetings and tasks
* Liaise with staff, associates and clients
* Conduct miscellaneous tasks such as research on relevant topics so on to support the CEO as and when needed
