Job Description
- Key Responsibilities:
- Invoice Generation & Distribution:
- Prepare and issue invoices accurately and promptly to customers based on sales orders, service agreements, or contracts.
- Ensure that invoices contain all necessary details (invoice number, due date, terms of payment, etc.).
- Send invoices via email, postal mail, or customer portals as per company procedures.
- Payment Collection:
- Monitor customer accounts for timely payments.
- Contact customers via phone, email, or other communication channels to ensure timely collection of payments.
- Follow up on overdue accounts and work with customers to resolve payment delays or disputes.
- Account Reconciliation:
- Reconcile customer payments with the corresponding invoices to ensure accurate payment application.
- Address and resolve discrepancies or issues between payments received and outstanding invoices.
- Maintain accurate, up-to-date records in the accounting system (e.g., ERP or accounting software).
- Aging Report Management:
- Review AR aging reports regularly to identify overdue accounts and prioritize collection efforts.
- Assist in the preparation of monthly AR aging reports and analysis for management review.
- Monitor overdue accounts, identify potential risks, and escalate collection efforts when necessary
