Job Title: Secretary to the Managing Director Company: Pankaj Electricals Location: Noida/Greater Noida (Office location will depend on MD's base) Job Description: We are seeking a dynamic and organized individual to join Pankaj Electricals as Secretary to the Managing Director. In this pivotal role, you will provide comprehensive administrative support directly to the MD, ensuring smooth operation of daily activities and efficient communication across all levels of the organization. Key Responsibilities: Email Management: Manage and prioritize emails on behalf of the MD, ensuring timely responses and follow-ups. Appointment Scheduling: Coordinate and schedule appointments, meetings, and conferences for the MD. Maintain and update the MD's calendar with accuracy. Customer and Employee Interaction: Act as a point of contact for both internal and external stakeholders, handling inquiries and redirecting them when necessary. Provide support in maintaining positive relationships with customers and employees. Office Coordination: Manage logistics related to the MD's office location, ensuring a conducive working environment. This includes liaising with facilities management for office upkeep and supplies. Travel Arrangements: Organize travel arrangements for the MD, including flight bookings, hotel accommodations, and itinerary planning as required. Documentation and Reporting: Prepare and distribute documents, presentations, and reports for meetings attended by the MD. Ensure accuracy and confidentiality of sensitive information. Support to Senior Management: Assist other senior executives and department heads as needed, fostering a collaborative and efficient work environment. Ad-hoc Tasks: Undertake special projects and assignments as directed by the MD, demonstrating flexibility and adaptability in handling various tasks. Requirements: Proven experience as an executive secretary, personal assistant, or similar role. Excellent organizational and time-management skills, with the ability to prioritize tasks and handle multiple deadlines. Strong interpersonal and communication skills, both verbal and written. Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Discretion and confidentiality in handling sensitive information. Bachelors degree in Business Administration or related field preferred. Knowledge of administrative procedures and office management systems.
