Job Description

    You will be joining the Office of the Vice Chancellor in Bangalore as a proactive, organized, and professional Secretary cum Office Assistant. In this role, you will provide high-level administrative and secretarial support to the Vice Chancellor and Pro Vice Chancellor. The ideal candidate should have experience in handling a wide range of executive support tasks with discretion and efficiency. You should be able to work independently with minimal supervision. Your key responsibilities will include managing daily schedules and calendars for the Vice Chancellor and Pro VC, coordinating internal and external meetings, conferences, and events, and ensuring timely reminders and follow-ups on all appointments and commitments. You will also be responsible for drafting, reviewing, and managing email correspondence with high-level professionalism, maintaining email etiquette, and handling confidential information with integrity. Additionally, you will be expected to draft agendas and minutes of meetings, liaise effectively with various departments and external stakeholders, maintain files and documentation, assist in preparing presentations and reports, and support in organizing travel itineraries and logistics for official travel. You will play a crucial role in ensuring the smooth functioning of the VC and Pro VCs office through timely procurement of office supplies, maintaining equipment, and coordinating with the facilities team. Any other secretarial and administrative tasks as assigned will also fall under your purview. To be successful in this role, you should possess a Bachelor's degree in any discipline, preferably in Administration, Management, or related fields. A minimum of 3-5 years of experience in an executive secretary or office assistant role, preferably in an academic or institutional environment, is required. Excellent command of English, both written and spoken, strong skills in drafting professional correspondence and minutes of meetings, proficiency in MS Office Suite and other office management tools, high level of professionalism, discretion, and integrity, strong interpersonal and organizational skills with attention to detail, and the ability to multitask, prioritize, and work efficiently under pressure are also essential. Desirable attributes include experience in handling protocol for VIPs and dignitaries, familiarity with university administrative structures and academic processes, and a courteous and welcoming demeanor.,
